TERMS & CONDITIONS FOR BALKAN FOLK DANCE CLASSES

These Terms & Conditions apply to the registration and participation in the Balkan Folk Dance classes organised by Mostovi Balkana VZW.

By completing the registration form and proceeding with payment, the participant, or their parent or legal guardian in the case of a minor, confirms that they have read, understood and accepted these Terms & Conditions.

PRIVACY POLICY

1. WHO WE ARE

Mostovi Balkana VZW is the data controller for personal data processed through registration and administration of its Balkan folk dance classes.

2. PERSONAL DATA WE MAY COLLECT

Depending on the registration process, we may collect participant and/or parent/legal guardian name, contact details, date of birth or age information where needed to determine minor status, selected group, registration/payment information, emergency contact information, and communications relating to the classes.

We only request information reasonably necessary for the relevant purpose.

3. WHY WE PROCESS PERSONAL DATA

We process personal data to:

* administer registrations;
* organise groups and classes;
* process and document payments;
* communicate schedule or venue information;
* manage attendance;
* respond to questions;
* handle emergencies where necessary;
* comply with legal and administrative obligations.

4. LEGAL BASES

Depending on the purpose, processing may be based on performance of a contract or steps requested before entering into a contract, compliance with a legal obligation, a legitimate interest where applicable, or consent where consent is specifically required or chosen.

Payment information may be processed by the payment provider used by the website.

Mostovi Balkana does not need to store full payment-card details where these are handled directly by the payment provider.

Personal data may be shared with service providers who help operate the registration, website, payment, communication or administration processes, where necessary and subject to appropriate safeguards.

11. COMPLAINTS

Individuals may contact Mostovi Balkana first.

They also have the right to lodge a complaint with the Belgian Data Protection Authority where they believe their personal data is being processed unlawfully.

12. CHILDREN AND MINORS

We take additional care with information concerning minors.

Registration for a minor must be completed or approved by a parent or legal guardian.

Where consent is used as the legal basis for an online service, applicable Belgian and GDPR requirements concerning children’s consent will be respected.

13. COOKIES AND WEBSITE TECHNOLOGIES

The website may use cookies or similar technologies.

The specific cookies used, their purposes and any consent choices should be described in the website’s cookie information or cookie banner.

PHOTO & VIDEO CONSENT

Separate consent for classes, rehearsals, performances and events

1. PURPOSE

Mostovi Balkana may take photographs and/or videos during classes, rehearsals, performances and events.

This form concerns optional consent for identifiable images where consent is required.

2. HOW IMAGES MAY BE USED

If consent is given, images may be used for the following Mostovi Balkana communication and promotional purposes:

* the organisation’s website;
* official social media accounts;
* posters and flyers;
* other promotional materials;
* communications presenting the activities of Mostovi Balkana.

Images will not knowingly be used for unrelated purposes.

3. SEPARATE CHOICES

Taking images:

☐ I consent to Mostovi Balkana taking photographs and/or videos in which I may be identifiable during its activities.

Publication/use:

☐ I consent to Mostovi Balkana using/publishing identifiable photographs and/or videos of me for the purposes listed above.

These are separate choices.

You may refuse either or both without affecting your registration or participation in the classes, unless a particular activity is expressly organised around recorded content and you are informed separately.

4. WITHDRAWAL

Consent may be withdrawn at any time for future use by contacting:

Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

Where reasonably practicable, Mostovi Balkana will stop future use of images covered by the withdrawal.

5. MINORS

For a participant under 18, the appropriate parent/legal guardian information and consent must be obtained where required.

Mostovi Balkana will use separate consent choices for taking and publishing images and will take the minor’s age and capacity into account.
